Dear Mr. Mosk,
Hope you are doing well. I am writing this letter to inform you about the details of complaints we have recently received about the reception area and propose some solutions we believe to be helpful.
Last week, we received a couple of emails complaining about the long time customers need to wait at the reception area to get their initial documents. In order to have more details about the problem, we called these customers and asked them some questions. Most of them were young and all of them suggested providing a website that enables them to do this step online.
Reception area is the first area customers confront. Consequently, it plays an important role in forming customers' attitude toward the company. Therefore, if it doesn’t work properly, the reputation of the whole company would be affected and that can lead to the crisis of customers churning.
In order to find a way to improve this section, I had a discussion with the technical manager and she was reluctant about developing a website that allows users to download their initial documents. If this happens, we can utilize some of our colleagues in the reception area for preparing and uploading documents and we believe that the number of clients in person would be reduced by 80 percent.
I have attached a detailed proposal that reflects all the pros and cons of this solution. If you have any questions about this, please do not hesitate to ask.
