Dear Sir or Madam,
I am the office manager at CapTech Inc. We have an upcoming training session in 6 weeks. Consequently, I am reaching out to you to find out details about your conference centre and the facilities that you have to offer. Based on the information thus gathered, we will determine if we will hold our training at your centre and proceed accordingly.
Our branch of CapTech Inc. is holding a training session for all 500 of our staff members. This is a bi-annual training session that includes general sessions for the entire staff and then separate, smaller sessions for groups of 50-100. As such, we're looking for a large auditorium that can hold at least 500 people and then at least 7 smaller rooms with a capacity of 100 people each. We will hold multiple sessions over a span of 2 days, covering various aspects of our technology and services.
Since our work is technology focused, all trainees will bring their own laptops. However, each of the rooms will need to have the following equipment available for an efficient delivery of the training material:
1. Audio-Visual equipment including a projector, screen, microphone and speakers
2. Reliable and high bandwidth wireless internet
3. Desks with easily accessible power sockets to plugin in laptops and other devices
4. Coat hangers and tables at the back of the room for refreshments
I would greatly appreciate you confirming if your conference centre can accomodate all our requirements. Additionally, can you confirm that the centre is available on June 12 and 13, six weeks for now. We will also need to ensure that all our staff is able to park at your facility. For that, is your parking facility dedicated or shared with another business? Lastly, do you serve food and refreshments at your centre, or are participants responsible for bringing their own food?
If we find that your conference centre meets all our needs, I will engage with you further to discuss the pricing, including any security deposit. I look forward to your response.
Thank you
